Task 6.1: Project management

A6.1.1 The project will be managed by the coordinator from JSI supported by the Project Management Board (PMB). The coordinator will chair the PMB, guide the project, organise progress meetings and synchronise the project’s progress within the timescale specified in the Gantt chart.

The members of the PMB will include the leaders of the WPs (VSL, LGC, JSI, VTT, UBA) and one representative from partners: TUBITAK, Optoseven, PSA, Lumex, CNR, UPPA, and CENAM. The PMB will be the top-level decision making body. The members of the PMB will guide the project, attend the project meetings, organise the progress meetings at their local institutions and call for additional meetings as needed.

A6.1.2 The WP leaders will report on the on-going progress to the coordinator by e-mail and telephone conferences. The teleconference meetings will be held regularly every three months, or more frequently in case of deviations from the plans. JSI, all partners
A6.1.3 The coordinator, with support from the partners, will manage the project’s risks to ensure timely and effective delivery of the project’s objectives and deliverables, technical reports, guidelines and open access publications. The coordinator will also monitor the implementation and secure the timely accomplishment of the project’s objectives and deliverables. The risks will be reviewed and updated regularly. Task 6.2: Project meetings

A6.2.1 The kick-off meeting including all partners will be organised within one month after the formal start of the project at JSI, Slovenia. It will be organised in conjunction with the 1st project workshop and stakeholder meeting. JSI, all partners
A6.2.2 There will be five formal project meetings. These meetings include (i) kick-off, (ii) approximately month 9 (Jun 2018); prior to the first progress report, (iii) approximately month 18 (Mar 2019, in conjunction to the 2nd project workshop); prior to the first periodic report, (iv) approximately month 27 (Dec 2019); prior to the second progress report (v) approximately month 35 (Aug 2020); prior to the second periodic report. These meetings will review progress to date; plans for the next period of work; delays and exceptions; impact; scientific and technical risks; management risks and any other relevant issues. It is expected that these meetings will be held in different partner institutes, and if possible in conjunction with appropriate conferences/workshops. Task 6.3: Project reporting

A6.3.1 One month after the signature of the grant agreement a publishable summary will be produced and submitted to EURAMET. JSI, all partners
A6.3.2 Following Articles 17 and 20 of the grant agreement, information will be submitted to EURAMET, in accordance with the procedures issued by them to enable EURAMET to comply with its obligations to report on the programme to the European Commission.

Progress reports will be submitted at months 9, 27 (Jun 2018, Dec 2019 + 45 days), 18, 36 (Mar 2019, Sep 2020 + 60 days).
Impact/Output reports will be submitted at the same times.

All partners will provide input to these reports and the coordinator will provide these and updated publishable summaries to EURAMET.

A6.3.3 Periodic Reports (including financial reports and questionnaires) will be delivered at months 18 and 36 (Mar 2019, Sep 2020 +60 days) in accordance with Article 20 of the grant agreement.
